Autonomous Tenant Service Desk: from maintenance call to scheduled contractor

How an AI voice agent runs the full maintenance workflow in a single call.
Jan 2026

Maintenance calls are the hardest service moment in property management. Tenant service desks rely on human agents to answer the call, identify the issue, determine responsibility under the lease, select the right contractor, secure owner approval and coordinate the appointment. The process is time-consuming, hard to scale and depends entirely on the agent on duty.

Calls come in outside office hours. Information arrives incomplete. Multiple parties need to be in the loop before anything can be resolved. Everyone loses time.

The question: can AI support, and partially automate, this end-to-end workflow without losing control or quality?

‍

An autonomous voice agent that runs the whole process

We designed and built a proof of concept centred on an autonomous AI voice agent, fully integrated with existing systems and data sources. It doesn’t just answer questions; it runs the process from start to finish:

  • Call intake: the voice agent answers immediately. 24/7 availability, no queue.
  • Issue identification: targeted questions pinpoint the exact problem: plumbing, electrical, heating.
  • Information gathering: dynamic follow-up questions collect everything needed to resolve the issue in one call.
  • Lease contract validation: the system looks up the lease to determine responsibility and financial accountability. No manual checks.
  • Contractor selection: the AI selects the best-fit contractor based on issue type, availability and the owner’s preferences.
  • Owner approval: when required, the property owner is asked for approval before any work is scheduled.
  • Appointment scheduling: once approved, the agent books the contractor and confirms the details with the tenant.

‍

Even as a proof of concept, the impact was clear

The PoC answered the question many tenant-facing organisations are asking: can AI agents orchestrate complex, multi-step operational workflows, not just answer simple questions? Yes.

  • Continuous availability for tenants, including outside office hours
  • Less manual handling for service desk staff on in-scope calls
  • Intake, validation, selection and approval resolved in a single interaction
  • Structured intake data captured, improving data quality downstream

Why this matters

This project shows how AI can move beyond isolated automation and take on a coordinating role across systems, contracts, suppliers and people. We use proofs of concept to make innovation tangible: quickly validating what works, where value is created and how a solution can be scaled responsibly.
